Who we are…

Reclaim is a community occupational therapy provider in Kilsyth. We provide support and therapy for clients and their families who are living with a disability.

 

We meet at our client’s homes, so our office is “our space”.  We are rapidly growing and are looking for a new team member to provide reception, administration support and assistance to our vibrant and encouraging clinical team.

The role…

Based on providing administrative and clinical support to our Occupational Therapy team, this role predominantly relies on non-face-to-face communication such as email and phone… with options for face to face client contact in training opportunities for activities of daily living.

 

This is an exciting opportunity for someone with Allied Health Assistant qualifications who understands the importance of meeting someone where they are at and adding value to their experience.

As our client’s deal with daily life challenges, skills in customer service is strongly desirable, so that we can help them move to a space of less stress and increased engagement with our therapy service.

Some of your duties will include:

  • Facilitating referrals for clients as required

  • Providing administrative support to the occupational therapy team

  • Answering incoming calls, determining the purpose of the call, and forwarding calls appropriately

  • Perform basic clerical and administrative duties, such as collecting, sorting, distributing and preparing correspondence, messages, and courier deliveries as well as filing and photocopying

  • Coordinate administrative tasks related to client services as required by the Clinical Team. 

  • Schedule appointments maintaining & updating calendars, reminding respective personnel of their appointment

  • Contributing to the development of policies and procedures to enhance the experience for staff and client’s alike.

  • Willingness to participate in service improvement, and reporting identified opportunities to the leadership team.

  • Developing effective relationships and partnerships within and outside of the organisation

  • Assist in the planning and preparation of meetings, conferences, client events, staff functions

  • Maintain an adequate inventory of office and clinical supplies and ad-hoc operational duties

  • Prepping Member/Client Kits 

  • Mail collection and postage 

  • Data entry  

  • Outbound calling 

  • Tasks as requested by clinical team, or leadership team.

 

This role is for you if…

  • Have a qualification as a Allied Health Assistant – or equivalent 

  • Enjoy working in a team and having a mixed load of face to face and office based work.

  • A friendly outgoing personality

  • You want each interaction you have, to add value to someone’s world.

  • Personal drive and motivation

  • Conscious and diligent

  • Able to take direction well and ask for direction when needed

  • Excellent written and verbal communication skills

  • Intermediate MS Office Skills with Word, Excel, and Outlook

  • Ability to learn SharePoint, OneDrive and clinical software

  • Be familiar with Apple products (MacBook, iPhone)

  • Data entry skills

  • Ability to multi-task and take initiative

  • Be a team player and possess a willingness to learn

  • Value your role in supporting the clinical and leadership teams in their roles

  • Strong Customer Service skills 

  • Be process orientated, and be able to capture processes as they change.

  • Flexible work arrangements are possible in discussion with leadership team.

 

This role is not for you if…

  • Unable to demonstrate flexibility to changing work demands

  • Are interested in going through the motions and not having a positive impact in each interaction.

  • Believe that Admin is an unimportant role

  • Cant climb stairs (ironically our office is up 1 set of stairs)

  • Bring a controlling or negative perspective to work
